ChronoTrack Timing Sync Setup Guide

Use this checklist to connect your ChronoTrack account, map categories, push participant entries, and pull back race results.

This page is designed as a simple reference for race directors before setup, during testing, and on race day.

What this sync does

  • Pushes active participants to ChronoTrack
  • Updates entries when registrations change
  • Pulls ChronoTrack results back into your event
  • Shows the last sync time for both directions

Before You Start

  • Director access to the event inside your account
  • A ChronoTrack account with permission to the target event
  • Local categories already created for the event year
  • Matching races and registration options set up in ChronoTrack
  • Recommended: bib numbers assigned before your final participant sync

How the page is organized

Connect links your race to your ChronoTrack account.

ChronoTrack Event lets you search for or enter the ChronoTrack Event ID.

Category → Race Mapping connects each Race Entry category to the correct ChronoTrack Race and Registration Option.

Sync gives you separate buttons to push participants and pull results whenever needed, while automatic syncing also runs during the one-week-before and one-week-after race window.

Step-by-Step Setup

Open the ChronoTrack integration

From your event dashboard, open Integrations and choose ChronoTrack. This page is where you will manage the full sync.

Connect your account

Click Connect ChronoTrack Account. In production you will authorize through ChronoTrack OAuth. In non-production environments, you may instead enter a ChronoTrack username and password to request a token. Those credentials are not stored.

Choose the correct event

Enter the ChronoTrack Event ID directly or use Search to select from your available events. Double-check this choice before moving forward, because once it is saved for the integration it is treated as locked.

Map categories

For each local category, choose the matching ChronoTrack Race and ChronoTrack Reg Option. Save the mappings once every category points to the right ChronoTrack destination.

Sync participants

Click Sync Participants to send active registrations to ChronoTrack any time you need. New entries are created, and entries that were already synced are updated when participant details change.

Sync results

When results are available in ChronoTrack, click Sync Results to import or update them in your event. These syncs also run automatically for active connected events from one week before through one week after race day.

Race Day Best Practices

  • Run one test sync before race weekend so the first live sync is not on race morning.
  • Push participants again after late registrations, transfers, or category changes.
  • Verify a few mapped categories in ChronoTrack before you open results to participants.
  • Make sure bib numbers and athlete details are current before the final participant push.
  • Use the displayed last sync times to confirm the latest automatic or manual pull or push completed.

Troubleshooting

Can’t connect?
Confirm that the ChronoTrack account has access to the event and retry the authorization flow.

No events appear in search?
Check that you connected the correct ChronoTrack account and that the event exists in that account.

Dropdowns are empty?
Verify the selected ChronoTrack Event ID first. The race and registration option lists load from that event.

Results are not showing?
Make sure the event is connected, category mappings are saved, and ChronoTrack has posted results for the mapped races before you run Sync Results or wait for the automatic sync window to pick them up.

Recommended Pre-Launch Checklist

  1. Connect ChronoTrack successfully and confirm the page shows Connected.
  2. Select the correct ChronoTrack Event ID for the event year.
  3. Map every category you plan to sync.
  4. Run a participant sync and verify a few entries inside ChronoTrack.
  5. Pull results once timing data is available and confirm they appear as expected.
